How trust is built

Security is more than a password.

It is knowing who can see the file, what remains private, which details were confirmed, and what must happen before documents or money move.

Access follows the transaction

A transaction file is not a public listing. Access is connected to signed-in participants, accepted invitations, and authorized HarbourClose team members.

Sensitive information is restricted

Identity images, banking instructions, private survey material, and internal review information are not treated like ordinary shared deal details.

Important actions leave a record

Confirmations, document activity, signatures, changes, deposit status, and administrative actions remain connected to the transaction file.

Consequential steps require people

AI and automation may help organize information, but they do not silently approve legal, financial, identity, payment, or sale-completion decisions.

Who can see what

Shared where useful. Restricted where necessary.

The buyer and seller need a common view of the deal without automatically receiving every sensitive document or piece of personal information.

Shared transaction information

Visible to: Buyer, seller, applicable co-owners, and authorized HarbourClose staff

Confirmed vessel, buyer, and seller details, price, included property, conditions, deadlines, responsibilities, and documents intended for everyone involved.

Private participant information

Visible to: The person who provided it and authorized HarbourClose staff

Government ID images, private contact or account information, and uploads marked private. Other participants see only the limited status required for the transaction.

Restricted transaction material

Visible to: Only the people whose role requires access

Buyer-uploaded survey reports, banking instructions, release support, administrative review material, and service-provider records.

Controls follow the information through the file.

Secure invitations and sign-in

Private transaction access begins with an invitation tied to the intended participant. Users sign in before joining and access only the files connected to their role.

Permissions around every file

HarbourClose applies access rules to transaction records and stored documents so that being signed in does not provide access to someone else's transaction.

Private identity handling

Government ID images are not displayed to the other side. The transaction shows only the verification status, never the document or its details.

Controlled document visibility

Uploads are connected to a transaction, document type, uploader, visibility, status, and workflow item. Restricted documents are not automatically shared with every participant.

Recorded workflow activity

Important file activity is recorded with the transaction so HarbourClose can review what occurred, when it occurred, and which account or authorized team member took the action.

Confirmed AI assistance

AI may classify a document, extract information, or flag a mismatch. The result is presented for confirmation before it becomes part of the Boat Sale file.

No online service can promise that risk is zero. HarbourClose uses layered access, workflow, recordkeeping, and human-review controls intended to reduce avoidable exposure and make unusual activity easier to investigate.

One applicable version, reviewed by the right people.

The transaction file keeps preparation, review, signing, and completion connected instead of scattering versions across inboxes and text threads.

Prepare from confirmed information

Documents are built from the details the buyer and seller have reviewed, reducing retyping and disconnected versions.

Review before signing

The people required for a document can review the applicable version before they sign or confirm it.

Sign through a secure link

When eSignature is used, signing takes place through a secure signing link without requiring a separate signing-provider account.

HarbourClose Client Deposit Account

A neutral place for the deposit.

For eligible Guided Process and Boat Sale with a Coordinator files, the buyer's deposit can be held in the HarbourClose Client Deposit Account until the agreed release point instead of being paid directly to the seller.

HarbourClose records when the deposit is received and releases or returns it according to the signed agreement and accepted written instructions.

Neither side controls the deposit alone.

The transaction file can show the applicable receipt and status without exposing private banking instructions to the other side.

Every deposit is clearly identified

Each deposit is connected to a specific transaction and the people with an interest in the funds.

Kept separate from HarbourClose's money

Client deposits are not mixed with HarbourClose operating funds or HarbourClose service fees.

Individual transaction records

HarbourClose maintains a ledger showing the amount, receipt date, status, activity, and the buyer’s and seller’s respective interests.

Written holding and release rules

Receipt, custody, release, and return follow the signed agreement and accepted written instructions.

Deposit controls

Money does not move on one person's say-so.

The Client Deposit Account process is designed to keep receipt, custody, release, return, and disputes visible and controlled.

Two-person release controls

One authorized staff member requests an outbound movement and a different authorized staff member reviews and approves it.

Callback verification

Recipient banking instructions are verified through the approved callback process. Banking changes are not accepted solely by ordinary email.

Daily reconciliation

Account activity is matched to individual transaction ledgers, with unmatched or incorrect entries reviewed as exceptions.

Disputed funds stay on hold

HarbourClose does not choose a winner when the buyer and seller disagree. Funds remain on hold until the signed agreement and acceptable written authority permit release or return.

No interest paid

The Client Deposit Account is intended to be non-interest-bearing. No interest is earned for or paid to a transaction participant.

Independent annual review

The operating standard includes an annual independent review of segregation, transaction records, reconciliations, and release controls.

If the buyer and seller choose no deposit or pay a deposit directly to the seller, those funds remain outside HarbourClose's custody and HarbourClose cannot control their release or return.

Your part matters

A secure process is shared work.

HarbourClose provides the file and its controls. Participants protect the transaction by checking instructions and keeping their access private.

  3. 3Confirm banking instructions through the stated verification process—not by replying to an unexpected email.
  4. 4Review names, vessel identifiers, prices, dates, conditions, and payment directions before confirming or signing.
  5. 5Contact HarbourClose immediately if a message, instruction, or account change looks unfamiliar.

Do not act on an unexpected request to change an email address, banking instruction, deposit destination, or release direction. Contact HarbourClose through a known channel so the instruction can be checked.
